Allocate Loop FAQs
About the Loop app
Loop is the RHN’s new rostering app. It allows staff to:
- · View and manage rosters.
- · Request leave and, where applicable, request duties or shifts.
- · Record on-call attendance (for eligible staff).
- · Book additional/casual shifts (if eligible).
- · Receive updates and communications from the organisation.
Some functions may not be available immediately at launch. Features will be introduced in phases to ensure a smooth rollout and to make sure staff get the most from the app. Access to certain functions also depends on your role, so you may not see every feature listed here.
Access and login
Q1: How do I get Loop onto my phone?
Answer: Search for “Allocate Loop” in the App Store or Google Play Store and download it like any other app.
Q2: How do I login to Loop and connect with my workplace?
Answer: Log in using your RHN username and password, and select Royal Hospital for Neuro-disability from the list of organisations.
Q3: I don’t use a smartphone. How can I access Loop?
Answer: You can access Loop from any computer via the internet, using your RHN username and password.
Q4: I’ve forgotten my Loop account details. Can I reset them?
Answer: You access Loop using your RHN username and password. If you need to reset your password, follow the usual RHN password reset process.
Core functions
Q5: What is Loop used for at the RHN?
Answer: At the RHN, Loop allows staff to access their roster, request leave, communicate with colleagues, and receive organisational updates.
Q6: How do I request leave?
Answer: From the Loop home screen, select Leave and follow the prompts to submit a request. Your request will be sent to your manager for approval.
Q7: My leave allowance looks incorrect in Loop. What should I do?
Answer: Contact the RHN rostering team by email if your leave balance appears incorrect.
Shift management
Q8: How do I record on-call attendance?
Answer: If you are part of an on-call rota (for example, estates or medical staff), use the Call Outs function in Loop to log your attendance when you are called in. Ward staff do not need to use this function.
Q9: Can I request specific duties or shifts in advance?
Answer: Yes. For ward-based staff, the request period opens 16 weeks before the roster start date and closes 12 weeks before the roster start date. Use the Request Duty function in Loop to submit your preferences within this period.
Q10: Can I book additional/casual shifts through Loop?
Answer: Yes, if you are eligible. Available shifts will appear in the Bank Shifts section of the app.
Q11: Do I need to complete a timesheet in Loop?
Answer: Some staff can submit timesheets in Loop. This only needs to be done if the actual hours you worked differ from your rostered shift. Your manager will review and approve submitted timesheets.
Other considerations
Q12: Can I connect with organisations I don’t work for?
Answer: No. Loop only connects you with the organisation you work for — in this case, the RHN.
Q13: Why can’t I see all the functions described here in my Loop app?
Answer: Access to functions in Loop depends on your role. Some features, such as Call Outs or timesheets, are only available to certain staff groups. Other functions may also be introduced later as part of the phased rollout.
